Cultural Event Day-Of Management & Coordination Proposal

Our Cultural Event Day-Of Management services are designed to support multi-layered celebrations with intention, clarity, and care. From ceremonial traditions to guest flow, vendor coordination, and timeline execution, our role is to ensure your event unfolds seamlessly—so you and your families can be fully present in each moment.

With years of experience managing South Asian and cultural weddings, we understand the nuances, traditions, and logistics required to execute a meaningful and well-orchestrated celebration.

Pre-Event Planning & Coordination

In the weeks leading up to your event, we focus on detailed preparation to ensure everything runs smoothly on the day(s) of your celebration.

Our services include:

  • Creation of a master timeline for all events and vendors

  • Detailed review of vendor contracts to ensure alignment with timelines and logistics

  • Vendor coordination and communication prior to the event

  • Acting as the main point of contact for all vendors

  • Barat route planning and management, including timing, guest flow, music cues, and coordination with venue and vendors

  • Planning and coordination of bridal party entrances, processions, and key ceremonial moments

  • Three in-person venue site visits (as applicable) to review layouts, logistics, and flow

  • Unlimited virtual communication for planning, questions, and updates

Day-Of Event Management

On the day(s) of your event, our team is fully present to manage logistics, troubleshoot in real time, and guide each moment with care and professionalism.

Day-of services include:

  • On-site event management and coordination

  • Food & beverage management, including timing, service flow, and vendor communication

  • Wait staff management and coordination (if applicable)

  • Serving as the on-site contact for all vendors

  • Venue walk-through and sign-off management

  • Damage control and problem-solving for unforeseen circumstances

  • Assisting the photographer with bridal party and family photo organization

  • Coordination and distribution of final vendor payments and gratuities (if requested)

  • Organization and packing of personal items, returned to a designated family member

  • Three professional staff members on site for the day of the event

  • Raman or Raveen on site as the first to arrive and the last to leave
